Part-time Receptionist (up to 29 hours per week)

The ND Receptionist is courteous and professional.  Acts as the primary contact between Next Door (ND) and its visitors and clients while striving to maintain a safe and secure environment.  Clerical work including mail distribution, light typing, general office duties and other tasks to complete during the day.

  • Responsible for greeting children, parents, visitors and staff in a professional and courteous manner.
  • Maintain and implement centers Security procedures.
  • Ensure that every agency visitor (parent, volunteer, etc.) signs in at the front desk.
  • Answer all incoming and internal calls within three rings.
  • Distribute agency applications to requestors, including employment, volunteer and program enrollment applications.
  • Take accurate messages. Distribute messages to appropriate visitors and staff.
  • Oversee lobby areas; controlling noise and crowd conditions by redirecting children, parents, visitors, and staff to the proper areas.
  • Maintain a clean and organized reception area including, wiping countertops and tables, cleaning windows, etc.
  • Alert Security for Security related issues.
  • Alert Facilities for maintenance related issues.
  • Assist in Fire Drills with keeping accurate counts of children, visitors and staff.
  • Separate mail promptly and appropriately. Contact staff via email or phone for pickup.
  • Accurately complete Delivery Log for package items from UPS, Fed Ex, etc.
  • Perform clerical duties when requested through priority set by the Operations Supervisor.
  • Contact authorities when appropriate.
  • Report any irregularities promptly to Operations Supervisor.
  • Perform other duties as assigned.
  • Facilitate timely and accurate communications, both verbal and written, as required for employee and outside contacts.

Qualifications

  • Must have strong organizational, prioritizing, written and oral skills.
  • A  high school diploma or equivalent is required with 2-3 years receptionist and/or administrative assistant experience.
  • Computer literate including Microsoft Office Suite. Experience with database management software (Excel) is critical to successful job performance.
  • A typing speed of 45-55 words per minute.
  • Multi-task oriented.
  • Professional, patient and dependable.
  • Ability to work with diverse ethnic groups and low-income families.
  • Ability to work with minimal supervision.
  • Able to work in a fast-paced environment.
  • Possess a desire to learn new skills.

Physical Demands

Primarily required to sit/stand most of the day.

Physical Activity

While performing the duties of this position, the employee is regularly required to sit/stand and move freely throughout the day. The employee must also climb stairs and walk frequently, with bending, twisting and reaching. Must be alert with good vision, with the ability to hear, speak and read.

Work Environment

Mainly reception desk setting and travel to various sites for meetings/coverage may be required.

  • Ability to make frequent, significant decisions to understand and react to the development process of children.
  • Ability to respond quickly and competently to an emergency or crisis situation in order to keep children, visitors and staff safe.
