Position Summary

We are seeking an experienced, people-centered Director of Process Design to join our growing team. This leadership position is responsible for working closely with the CEO to create systems and guidelines to support strategic, operational and funding efforts both within Loving Venti and with our partners. The Director will allocate 40% of their time within internal operations and 60% of their time in direct support of partners. This hybrid position requires travel throughout the Greater Milwaukee area, with flexibility to work from home and visit partner sites as needed.

Position Details

  • The Director of Process Design will report to the CEO.
  • Compensation is hourly at $35 per hour for 25-40 hours per week determined during the interview process, dependent on employee availability and the needs of Loving Venti. The expectation is that hours will remain consistent. It includes 3 weeks of pro-rated PTO and 11 pro-rated flexible paid holidays.
  • This is a hybrid role with in-person staff and partner meetings; it requires your own transportation for regional travel.
  • There is a 6-month employment probationary period.

Key Responsibilities

  • Strategy & Leadership
    • Collaborate with the CEO and leadership team, including the Directors of Fund Development and Culture & Strategy, to shape and drive development strategies.
    • Develop, implement and improve streamlined operational and administrative processes.
    • Create efficient systems for partners that align with partner missions and strategic objectives.
  • Internal Operations & Administration: 50%
    • Workflow Management: Manage and oversee projects with multiple staff and consultants assigned to ensure efficiency, clear communication and project completion.
    • Document Management: Create, maintain and improve systems for document management utilizing various tools and platforms (Google Docs, DocHub, Dubsado, MailChimp, Little Green Light).
    • Policy & Procedure Development: Assist in the development of policies and procedures related to fundraising, financial management, and donor engagement.
    • Team Communication:  Assist the CEO in the dissemination of important information regarding upcoming events, staff meetings, changing processes and partnerships.
    • HR Administration:
      • Ensure that payroll is completed with the oversight of the CEO.
      • Oversee the staff onboarding process with the CEO and Director of Culture & Strategy to ensure the completion of all necessary paperwork.
    • Operations:
      • Manage expense report processing (Quickbooks)
      • Purchase office supplies, marketing materials and any needed technology.
      • Update and order printed communication materials.
      • Maintain subscriptions to team management tools and applications.
      • Coordinate website updates (WordPress and Elementor).
      • Take existing raw content from the CEO and other consultants to re-purpose it into multiple formats.
    • Event Coordination:
      • Prepare correspondence, develop presentations, and complete other administrative support as needed.
      • Arrange for booths and prepare materials for all speaking engagements, when needed.
      • Perform hospitality functions in support of a variety of events and meetings, when needed.
  • Strategic Counsel:
    • Support and collaborate on projects with the Loving Venti staff team.
    • Document project processes and templates, providing consistency and quality control in all services.
    • Support and collaborate on projects with subcontractors and consultants in the Loving Venti brand, ensuring consistency across all projects.
  • External Operations & Administration: 50% 
    • Partner-specific Projects: Provide direct support for 2-5 partners for projects in fund development, grant writing and strategic services.
    • Partner Onboarding: Oversee the proposal process for new partners, ensuring alignment with organizational goals and smooth onboarding.
    • Database Management
      • Manage day-to-day donor engagement for ongoing partners including gift entry, acknowledgment processes, and relationship management (Little Green Light) to ensure accurate records and streamlined communication.
      • Provide administration of donor databases and fundraising platforms (Little Green Light and partner-specific systems)
      • Support transitions and syncing of data across multiple programs from one program to another (Excel, Quickbooks, hard copy) and between Loving Venti and clients’ files.
      • Maintain and update customer relations records utilizing various tools and platforms (Dubsado, Mailchimp, Zapier, Little Green Light).
    • Strategic Counsel:
      • Support and collaborate on projects with the Loving Venti staff team.
      • Support and collaborate on projects with subcontractors and consultants in the Loving Venti brand, ensuring consistency across all projects.

Skills and Abilities

  • Communication:  The Director of Process Design must be an excellent written and verbal communicator. Strong skills in phone and email communication is required.
  • Organization: This position will provide essential administrative and operational guidelines for the Loving Venti team and they must be highly organized and detail-oriented.
  • Technologically Proficient: While experience with some or all of the technology platforms that we use is ideal, including Google for Nonprofits and/or Business, Asana, Dubsado, QuickBooks, Little Green Light CRM, Canva or Photoshop, Microsoft Office Suite, WordPress, Calendry, Fluxx Grantseeker, etc., we are willing to train the right candidate. However, the ability to embrace and learn new technology quickly is an absolute must.
  • Seasoned Leadership: This position will require an ability to be part of a leadership team and potentially oversee other Loving Venti staff members in the future so experience in management and supervision is needed.

Knowledge and/or Professional Experience Preferred

  • Experience in nonprofits, business, communications, public relations and/or journalism preferred.
  • Flexibility and self-directedness with a bias toward action are key attributes of the ideal candidate.
  • Success working in a virtual environment.

Additional Details

  • Technology (computer, telephone and high-speed internet) is not provided by Loving Venti and must be provided by the employee.
  • Attendance at staff meetings with the entire Loving Venti team is mandatory.
  • As assigned by the CEO, other limited and varying tasks will be requested and required of the Director of Process Design at times as this position supports a developing and expanding consulting firm.
