Skills/Knowledge Required:

  • Former experience in a non-profit environment preferred, at minimum familiarity with non-profits.
  • Strong customer service skills.
  • Experience with event planning.
  • Strongly preferred, previous experience with sales/cold calls.
  • Capacity to work cooperatively and independently.
  • Proficient in MS Office and database programs.
  • Excellent written and verbal communication skills.
  • Friendly, Outgoing personality, professional demeanor in person and on the phone.
  • Must be detail oriented, have excellent organizational skills, the ability to multi-task and be flexible.
  • Ability to work well with a wide range of personality types as a part of a team and independently.
  • Ability to problem solve in a fast-paced office environment.
  • Donor management software knowledge preferred

Tasks & Responsibilities: Fund Development Specialist

  • Represent the agency in a friendly, professional manner.
  • Enter data into the computerized system and spreadsheets.
  • Prepare and/or compose accurate and timely letters, memos, correspondence, reports, presentations, using word processing and presentation software. Copy and distribute as appropriate.
  • Organize and maintain records for donations
  • Update, complete and distribute all assigned weekly, monthly, and yearly reports, charts, etc., accurately, and according to schedule, and departmental procedures.
  • Lead role in Family Service event planning. (United Way Workplace Campaign, Staff Christmas lunch, Celebrate Our Mission, Wine Tasting etc.)
  • Coordinate agency campaign and appeal communications. Duties include planning, concept development, writing, editing, overseeing design, contracting outside agencies and services as necessary and managing the review and production process.
  • Lead the implementation of donor stewardship, corporate sponsorship and fundraising strategies with the Executive Director.
  • Discover corporate social responsibility and workplace giving objectives of donor companies.
  • Align opportunities with Family Service’s mission and create engagement initiatives.
  • Actively solicit and engage past, present, and potential donor relationships.
  • Assist in creating marketing materials, deliverables, narratives, and reports.
  • Track donor relationships and revenue.
  • Conduct research on current and potential donors.
  • Support external and internal development activities, including attending meetings, and coordinating with staff.
  • Implement a comprehensive plan to meeting an income portfolio goal of Family Service.
  • Create and implement donor/corporate sponsorship plan (2 to 3 year plan), with support from Leadership Team.  
  • Implement a minimum of 3 to 4 community engagement events annually.
  • Implement at minimum of two annual fundraising events.
  • Attend all events, committees and staff meetings, and territory-wide activities as assigned.
  • Enter payments on correct spreadsheet, donor database and year to date spreadsheet.
  • Create Thank You letters for all donations. File our copies in the correct folder.
  • Managing the RSVP lists for events.
  • Prepares correspondence and reports, some of which may contain confidential information.
  • Edits documents for correct grammar, spelling, punctuation, and content.
  • Assists in identifying potential problem accounts and sends follow-up correspondence. May produce reports of accounts that are in arrears and analyses of bad debt and prepare analyses and reconciliations of bill runs to detect fraud. Reviews and monitors credit sources, credit files, customer applications and delinquent accounts.
  • Communicates event strategy, plan execution, prospective donor lists, obstacles and successes, and updates tracking data to Director of Agency Development on weekly basis.
  • Negotiates and secures contracts with vendors hired for Family Service events, securing proper approvals and signatures from management.
  • Contributes to and supports overall fundraising plans.
  • Creates and manages event work plans and budgets approved by Controller, and Executive Director to achieve annual financial goals and ensure secure financial processes.
  • Oversees compliance with all necessary regulations.
  • Develops and executes event sponsorship strategy to ensure budgets are met.
  • Develops and adheres to all event budgets.
  • Maintains a weekly dashboard of activities and deadlines related to event planning progress.
  • Coordinates a systematic process of identifying, recruiting, and supporting the event leadership including chair(s) and committee heads, and other volunteers.
  • Responsible for event set-up, day-of activities and cleanup and coordinates necessary.
  • Evaluates and reports outcomes and processes for continuous improvement.
  • Supports the mission, vision, and values of Family Service.
  • Other tasks and responsibilities as assigned by the Executive Director.

  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to deal with problems involving a few concrete variables in standardized situations.

Reasoning Ability

  • Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving several concrete variables in standardized situations.
