The African American Roundtable (AART) is hiring a part-time Office Manager role to ensure our administrative tasks and logistics run effectively and smoothly. The ideal person is organized and efficient, can work independently while exercising good judgment in a variety of situations, possesses strong written and verbal communication skills, and has strong administrative and organizational skills. The ideal candidate enjoys working in an environment that is joyful, mission-driven, social justice-centered, and community-oriented. This person will report to and work closely with AART’s Executive Director.

This is an exciting time to be a part of AART’s team as this role will have a direct and lasting impact on the future of our organization. Please note this position is hybrid, working in person in our office 2-3 days per week and remotely the remaining days.

START DATE FOR POSITION: ASAP.

RESPONSIBILITIES INCLUDE:

  • Works in coordination with the Executive Director and our fiscal sponsor, Social and Environmental Entrepreneurs (SEE), to create best practices, policies, and procedures for AART’s office in alignment with our culture and values
  • Preparing financial disbursements and documentation for organizational expenses, including bills, handling invoices, deposits, reimbursements, credit card reconciliation, and managing vendor correspondences
  • Works with SEE’s staff to ensure AART’s administrative and accounting items are accurate and accounted for
  • Maintains files and handles confidential materials and information with discretion
  • Supports infrastructure, sustainability, and ad hoc projects, such as assisting with staff and advisory board retreats, and AART’s annual fundraiser logistics
  • Supports Executive Director and SEE in seamlessly onboarding of  new employees
  • Ordering and stocking office supplies, assisting with the upkeep of the office and equipment, and owning the logistics for in-office meetings
  • Make all necessary travel arrangements, including flight, lodging, and on-ground transportation AART staff
  • Corresponds with vendors and welcome AART guests including in person and by email
  • Serves as a support and liaison to AART’s advisory board
  • Supports AART’s overall vision and mission along with ongoing fundraising ideas and efforts
  • Attends weekly staff meetings as needed
  • Miscellaneous database entry as assigned

QUALIFICATIONS INCLUDE:

  • Commitment and passion for AART’s mission of social, racial, and economic justice
  • Intermediate to advanced knowledge and skills with Google Suites and Zoom
  • Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work
  • Excellent organization, project, and time management skills: ability both respond to day-to-day needs while balancing other priorities
  • Ability to handle sensitive and confidential situations
  • Experience in office administration and financial support
  • Ability to meet deadlines and manage workflow both independently and collaboratively alongside AART and SEE staff
  • Excellent communication skills (verbal and written)
  • Ability to to self-reflect, and receive, and give feedback
  • Currently lives in Milwaukee or has a lived experience in Milwaukee
  • Available to work flexible hours, including occasional evening and weekend events

The African American Roundtable is a project of Social and Environmental Entrepreneurs. This position pays between $33.00 – $40.00 per hour. Experience and aptitude will be taken into consideration for negotiating pay between these ranges. Additional incentives for hire include a monthly stipend to support covering costs related to health and wellness.  In addition, AART provides mileage reimbursement.
