Duties and Responsibilities
General Office Duties
- Perform customer support activities, such as answering phone calls, responding to emails, and addressing customer inquiries or concerns.
- Coordinate and assist with event planning tasks, such as scheduling meetings, booking venues, arranging catering, and managing event logistics.
- Perform various clerical duties, including filing documents, data entry, photocopying, and scanning.
- Handle administrative tasks specific to the shelter, such as managing animal records, reviewing, and following up on adoption applications, scheduling appointments and creating reports.
- Serve as a receptionist in a shelter setting by greeting visitors, checking them in/out, and handling inquiries, facilitating meet and greets, etc.
- Provide project coordination support as needed.
Volunteer Coordinator Duties
- Respond to calls and requests for information as needed.
- Work with Shelter Manager to create new and innovative roles for volunteers.
- Process volunteer applications and organize initial orientation.
- Maintain volunteer records, database, and other necessary information.
- Design, organize, implement, and distribute volunteer manual and other informational materials.
- Design and maintain volunteer communications – newsletter, bulletin board, etc.
- Design, maintain, and update volunteer information packet, ensuring there is a plentiful supply at key distribution points.
- Keep volunteer opportunities and descriptions updated in recruitment materials such as volunteer packet, website, and other volunteer recruitment websites.
- Act as a liaison for volunteers.
- Assume additional responsibilities as assigned.
Qualifications
- High School Diploma or GED required.
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent communication skills, both verbal and written.
- Proficient in using computer software programs such as Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
- Ability to maintain confidentiality and handle sensitive information with professionalism
- Attention to detail and accuracy in performing clerical tasks.
- Strong problem-solving skills and ability to work independently or as part of a team.
- Familiarity with all aspects of animal welfare issues (can be developed in position).
- Practical knowledge of domestic animals (can be developed in position).
- Valid driver’s license a plus
