Administrative Manager, Education
CLIENT ASSOCIATION: Hematology/Oncology Pharmacy Association, HOPA
REPORTS TO: Associate Director of Education (ADE)
DIRECT REPORTS: None
EXEMPT/NON-EXEMPT EMPLOYEE STATUS: Exempt (Minimum 37.5 hours/week)
GENERAL SUMMARY
Responsible for supporting and advancing HOPA-sponsored educational activities, assisting with the coordination of projects and programs, reporting for accreditation compliance, communicating with members, customers, and volunteers, and providing targeted administrative support to the Education and Professional Development Team.
POSITION RESPONSIBILITIES (Minimum 37.5 hours per week)
- Provide customer support to members and other learners regarding activity registration and claiming of credits.
- In coordination with others on the team, prepare and analyze activity evaluations and outcomes data for review.
- Support the education efforts of HOPA through report generation, member/customer support, updating and maintaining various trackers and providing support to the Education team as needed.
- Assist with the maintenance of HOPA’s learning management system.
- Serve as accreditation support for ADE in maintaining compliance with ACPE and BPS guidelines.
- Provide support as needed for the Annual Conference and Practice Management programming, and collaborations with partnering organizations.
- Create the annual BPS report with data from the LMS and assist with ACPE review reports as they are assigned to HOPA.
- In conjunction with the ADE, investigate the impact of AI in continuing education and association management, and provide insight to the EPD team and HOPA staff.
- Serve as liaison to HOPA committees or task forces as needed.
- Coordinate, monitor, and track BCOP Question Field Testing for all product releases with appropriate committee liaisons and report on progress quarterly to ADE.
- Interface in a professional manner with members, learners, pharmacists, vendors, staff and others as needed.
- Answer calls and emails with excellent customer service.
- Provide general committee support as needed including scheduling meetings, coordinating meeting materials, writing and distributing agendas and minutes, etc.
- Other duties as assigned.
AMOUNT OF TRAVEL REQUIRED: Possibly 1-2 weeks per year; some weekend and evening work may be required.
EDUCATION/EXPERIENCE REQUIRED: Bachelor’s degree preferred or 1-3 years of relevant experience. Computer proficiency, outstanding customer service, interpersonal, organizational, and communications skills, high accuracy and attention-to-detail. Ability to work successfully in a team environment.
*This position is located in downtown Milwaukee, WI and a minimum of two days onsite in the office (including Wednesday as an all-staff-in-office day) are a requirement of the role.
