Primary Objective
We are seeking two detail-oriented and customer-focused part-time Front Desk Customer Service Specialists to join our team. This role is essential for ensuring smooth front desk operations, delivering excellent customer service to a diverse community in both Spanish and English to visitors and callers, and handling various administrative tasks related to program and volunteer coordination.
Major Responsibilities
- Maintain a smooth, organized, culturally sensitive, and welcoming front desk operations, including greeting visitors, answering phones, and ensuring a positive environment.
- Keep front desk flyers and informational materials current, organized, and easily accessible.
- Verify, track, and enter data for WE Energies applications, to ensure accurate billing and invoicing records.
- Manage room setup and maintenance activities for all meeting spaces as needed.
- Support the Food Pantry Coordinator by assisting with volunteer sign-up processes to ensure sufficient coverage.
- Update program attendance sheets accurately and enter relevant data into spreadsheets for tracking and record-keeping.
- Perform other BVCC-related tasks as assigned to support the center’s operations and mission.
- Sort incoming mail to ensure timely handling.
Education
- Minimum Required: High School Credential; some post-high school education desired
Experience
- Preferred: 2 years prior experience in an office environment
Essential Skills and Abilities
- Bilingual in Spanish and English required.
- Strong customer service skills and proven ability to maintain successful working relationships in a collaborative, team environment.
- Knowledge and use of common office computer systems, software, and email.
- Strong planning and organizational skills, including the ability to organize and maintain records and documentation appropriately.
- Skilled to recognize and safeguard confidential information.
- Ability to present a professional image as a representative of Bay View Community Center.
- Experience with social media preferred.
Physical Requirements and Working Conditions
- May be responsible to move, lift, or support up to 25 pounds.
- Must be capable of the manual dexterity required to use and operate a computer, telephone, copy machine, writing implements and other varied office equipment.
- Must be able to speak clearly and hear to communicate with people in person or over the telephone.
- Must have accurate vision to read paperwork and computer screens.
Hours
- 20-24 hours/week
Compensation
- $16-$18/hour
BVCC offers paid holidays and Paid Time Off for use as vacation or sick leave.
